1 Select and copy your signature
Click the button to highlight the signature, then press Ctrl+C (Windows) or Cmd+C (Mac).
Open this page in Chrome or Edge for best results.
2 Paste into Outlook & add your details
Outlook Desktop
Outlook Web (Microsoft 365)
- Open Outlook and click File ? Options ? Mail ? Signatures
- Click New, name it Gentlemen Pros, click OK
- Click inside the large editor box
- Press Ctrl+V to paste the signature
- Click on YOUR NAME and type your real name
- Replace YOUR TITLE and YOUR PHONE the same way
- Set it as your default signature for New messages and Replies
- Click Save
- Click the Settings gear icon (top right)
- Click View all Outlook settings at the bottom of the panel
- Go to Mail ? Compose and reply
- Scroll to Email signature and toggle it ON if it isn't already
- Click inside the signature box and press Ctrl+V to paste
- Replace YOUR NAME, YOUR TITLE, and YOUR PHONE
- Click Save
Tips & troubleshooting
Images not showing after paste? Make sure you're connected to the internet. Outlook may show a placeholder until you send — they'll appear correctly for recipients.
Signature looks like a mess of code? You may have pasted into the wrong box. Look for a rich-text editor area (it should look like a Word document, not a code field) and try again.
Use Chrome or Edge to open this page — Firefox and Safari handle the selection copy differently and may not work as well.
